Find a stall
Your audience will get in through one entry point - a QR code scan at the entrance, on a poster or at any stall, or a link you share - and land on every stall at your event. A map or a list, whichever they prefer, filtered down to what they are after, with what each stall is serving and whether it is open. They will order from where they are standing and collect when it is ready, instead of losing half a set to a queue.
You will be able to make it the standard across your whole roster, which is something no single trader can do. Every stall runs the same flow, and you see the event in one place instead of asking each stallholder afterwards how their day went.
Guests will get in the same way every time - a QR code scan or a link - and land on every stall at your event: a map view or a list view, which of them are open and what they are serving, updating as it changes. One flow to explain to your audience, not one per trader.
You will follow the event while it runs and pull a report per stall afterwards, so next year is planned on what the site actually sold rather than on what each stallholder remembers.
Guests, sponsors, artists and crew will be given access with their email, and you set per group what they may order. It replaces vouchers, drink tickets and colour-coded wristbands, and nobody at the counter has to judge who is entitled to what.
Allowances are optional. If some people at your event should eat or drink on the house, you will be able to make a group, add the email addresses you already have, and describe what it covers: a number of meals and drinks, or an amount to spend. Everyone in the group orders at any stall at your event with their own email address. No wristband to hand out, no voucher to count up afterwards. The cards below are examples of how such groups could look, not a set you have to use.

Another: artists and the crew they travel with, covered as agreed in their rider. The allowance follows them to whichever stall they pick.
The names on your sponsor list and the guests they bring along, if hospitality is part of the deal. Each one orders for themselves, so nobody has to hand anything out at the gate.
Build-up, take-down and the shifts in between, if you feed them. What a group covers can change from one day to the next without reprinting a thing.

Your traders keep their menu prices exactly as they set them. On standard service the ordering fee sits on top of the order and is paid by the guest, so nothing comes off what the stall earns.
That matters when you bring a system to your roster: you are not asking anyone to give up part of their turnover so your event can run more smoothly.

That is the concrete thing about being in early. An event cannot be compared with its own past until it has one.
* Applies to standard European consumer cards, Apple Pay, Google Pay and Link, which is nearly every card used in Denmark. Company cards and cards issued outside Europe cost the card networks more, and that difference (about 1.3% for a company card, 1.6-3.7% for a non-European card, i.e. 1.48-4.21 kr. on a 100 kr. order) is deducted from your payout. We can't influence those rates. Even then you pay a fraction of what a terminal costs: a terminal charges its full card fee on every single order, here you only ever pay the difference on the rare card.
